How to Connect WhatsApp

Connect your own WhatsApp Business number directly from TourMan — the whole process runs through Meta's own sign-in flow, with nothing to copy-paste.

WhatsApp needs to be included in your organization's subscription before the Connect WhatsApp button appears in Settings → Integrations. If you don't see it, that's the reason — contact us to add it.

Open the WhatsApp tab and click Connect

Go to Settings → Integrations → WhatsApp and click Connect WhatsApp.

Log in with Facebook

A popup window opens — Meta's own sign-in flow. If you're not already logged into Facebook, it'll ask you to. Use the account that manages (or will manage) your business on Facebook — not a personal one you don't want tied to this.

Choose your phone number and business

Meta walks you through picking a WhatsApp Business Account — an existing one, or create a new one — and the phone number to use with it, which can be a number you already have set up in Facebook or a brand-new one.

Same for the business itself: select an existing one from Meta Business Suite, or create a new one on the spot. You'll fill in a few basic details as you go (business name, category, and similar) — Meta prompts for whatever it still needs.

Verify the number

Meta sends a one-time code to the number by SMS or a phone call to confirm you control it. Enter it to continue.

Add a payment method

Meta bills WhatsApp usage directly — not through TourMan. Depending on your account, it may ask for a payment method as part of this same flow; if it doesn't, or you skip it, add one afterward in Billing Hub → Payment Methods.

The number can't already have a WhatsApp account on it — regular WhatsApp or WhatsApp Business, either one. If it does, Meta won't let you add it here. Either delete the WhatsApp account on that number first (Settings → Account → Delete my account, in the WhatsApp app), or use a separate number you haven't used on WhatsApp before.

WhatsApp messaging isn't free. The automated messages TourMan sends (Tour Confirmation, Low/No Pay Verification, No-Show Follow-up) are template messages, and Meta charges for each one delivered — the rate depends on the message category and the guest's country. Once a template message is delivered, it opens a 24-hour window during which any reply — from the guest or from you, free-form or from Chatwoot — is free. Send another template to reach the guest again after that window closes, and it's charged again.

Meta also requires a payment method on file for the account to keep sending messages at all — see step 5 above.
