Incoming Emails
Every booking email TourMan receives from your connected platforms lands here — this page shows how each one was interpreted, and lets you inspect, reprocess, or delete individual emails.
Overview
TourMan's email service automatically scans forwarded booking emails, detects what platform they came from and what action they represent (new booking, update, or cancellation), and creates or updates the matching booking for you — no manual entry needed. This page is the log of that process: every email that came in, what TourMan understood it to be, and whether it succeeded.
Visible to Admins and Managers only — Guides are redirected to the Tours page instead. For how emails get forwarded here in the first place, see How to Connect Email.
Filtering the List
Filters
Status
All, Pending, Processed, or Failed — narrows the list to emails in that processing state.
Source
All Sources, or one specific platform. Manual isn't listed here, since manually created bookings don't come from an email.
The Email List
Each row shows when the email arrived, its subject (on desktop), the source platform's icon, and — once TourMan has looked at it — what it detected and whether it worked. Click anywhere on a row to open its details.
Action Type
Only shown once TourMan has determined what the email was for:
New
The email created a new booking.
Update
The email updated an existing booking.
Cancel
The email canceled a booking.
Unknown
TourMan couldn't confidently tell what the email was for.
Processing Status
Pending
Received but not processed yet.
Processed
Successfully understood and applied.
Failed
TourMan hit an error trying to process it — open the email's details to see why.
A small icon appears on any row that isn't Processed yet — see Reprocessing below. When there are more emails than currently loaded, a Load More Emails button appears at the bottom of the list (loading 50 at a time).
Email Details
Click any row to open its details panel.
What's shown
Subject, From, Received At
The raw email's subject line, sender address, and when it arrived.
Source, Action Type
The detected platform icon, and the Action Type badge described above (if one was determined).
Processing Error
Only shown if the email failed — a red box with the raw error message, for troubleshooting.
Booking Info
Only shown if the email actually created or matched a booking — a green box with the customer's name, email, phone, pax breakdown, date, time, and tour. This is for reference only; it isn't a link into the booking itself.
Email Content
Collapsed by default, showing a plain-text preview. Toggle "Show HTML" to render the original email in full.
Message-ID
The email's raw unique identifier, shown in small text at the bottom — useful when reporting an issue.
Close the panel with the × in the top-right corner.
Reprocessing an Email
If an email is stuck at Pending or ended up Failed, you can re-run detection and booking creation for it without waiting. There are two ways to trigger the same action:
From the list
Click the rotate icon on the row directly — it spins while the email is being reprocessed.
From the details panel
Click Reprocess in the footer (shown while the email isn't Processed).
Neither asks for confirmation, and there's no success message — the row's status badge (and, in the panel, the whole email) simply updates once the reprocessing finishes.
Deleting an Email
Open the email's details panel and click Delete Email in the footer, then confirm the prompt. This removes the email log entry only — it does not delete any booking it may already have created.
Admin only
Deleting requires the Admin role. The button is visible to Managers too, but the deletion itself will be rejected for them.
